There are currently two different types of subscription bundle available to access Motional. Professional, and Team. This article will explain some of the differences between the two, and explore a few different scenarios for each, and detail the paperwork needed for each.
The Key Difference
If you’re dithering between a Professional and Team bundle, ask yourself “Will more than one person be working with and taking Snapshots of any one young person?” If they are, then you need a Team account. If it’s only going to be you, AND you’re not employed by a school or similar organisation then you can take a Professional bundle.
Our Micro, Small, Medium, Large, and custom bundles are designed to be used in organisations that have several staff and look after lots of young people. And usually each member of staff will have contact with more than one young person, and also each young person will have contact with more than one member of staff. In database terms we call this a many-to-many relationship.
Some examples of Teams are schools, youth organisations, virtual schools, membership organisations.
Generally the subscription and Processor Agreement will be in the legal name of the organisation. Some Local Authorities in the UK ask for themselves to be listed as the Data Controller and Data Protection Officer, rather than the school.
In terms of Legal Basis for processing data, see our advice for organisations about consent & GDPR.
This is for independent practitioners who work on their own with a handful of young people. These bundles don’t have access to some of the Reporting features that Team bundles do – simply because there won’t be the amount of data to look at, and there’s only one user creating Snapshots. It may be tempting to take a Professional bundle for a school because it’s cheaper. It’s not recommended to do this because you lose so much of the functionality that makes Motional so valuable to organisations.
Basically all the “-ists”. Therapists (all breeds including psycho-, play-, drama-, physio-, etc), psychologists, educational psychologists, behaviour specialists, and so on. If you’re an -ist working in an organisation and not sure whether to get a Team Bundle or Professional Bundle, the key question is “will other staff need to do Snapshots on these children?” If yes, you need a Team bundle, if not, go ahead with Professional.
As a sole practitioner you will probably not be able to use the Public Task basis for processing data, so you probably will need to use either your own or our template consent form.
You will end up putting your own details into several boxes of the Processor Agreement; “Organisation Name” will be your name unless you are a different legal entity like a CIC, LTD etc. “Name of your Data Protection Officer” will also be you, as will “Who will sign this agreement?”
